Job Summary

The Title Specialist role involves managing vehicle title-related processes, including title transfers, barcoding, and title releases, while ensuring compliance with state and company policies. Responsibilities also include reviewing and managing the Paid Report, processing state-to-state title transfers, and handling incoming title mail and Activity Manager requests. The position requires attention to detail in maintaining accurate records, coordinating with internal teams, and providing responsive customer service to both members and staff. Additionally, the role involves completing various tasks delegated by management, ensuring compliance and contributing to team objectives through timely and efficient execution of responsibilities.

Responsibilities

  • Review and process vehicle title transfer requests, ensuring that all required documentation is complete, accurate, and in compliance with state and company policies. Ensure timely submission of documents to appropriate authorities for title transfer and maintain accurate records of all title transfer activities for compliance and future reference.
  • Upon receipt of vehicle titles, barcode and accurately enter the title information into the system, ensuring proper tracking and documentation. Verify all details are correct, update loan records as needed, and ensure titles are securely stored for future reference or processing. Maintain compliance with company policies and procedures throughout the process.
  • Review and manage the Paid Report to ensure accurate tracking of loans that have been paid off. Verify that all loan balances are fully settled, update loan records accordingly, and ensure titles or other necessary documentation are processed for release. Coordinate with internal teams to resolve any discrepancies or outstanding issues, and maintain accurate records for compliance and reporting purposes.
  • Retrieve vehicle titles for loans that have been paid off or refinanced, ensuring all necessary documentation is complete. Prepare and mail the titles to the member, branch, or third party ensuring timely delivery and proper handling. Maintain accurate records of title releases for compliance and future reference.
  • Review and process vehicle title transfer requests between states, ensuring compliance with both state-specific and company policies. Verify that all necessary documentation, including proof of ownership and payment, is complete and accurate. Coordinate with relevant state authorities to facilitate the title transfer and update loan records accordingly. Maintain detailed records of all state-to-state title transfer activities for compliance and future reference.
  • Review and process incoming vehicle title mail and title files, ensuring that all documents are complete, accurate, and properly logged. Update loan records with the relevant title information, securely store physical titles and files, and coordinate with internal teams for further processing if necessary. Maintain accurate records of all incoming title documentation for compliance and future reference.
  • Review and process Activity Manager requests promptly, ensuring accurate updates to member accounts and loan records. Verify that all required documentation and information are complete and in compliance with company policies. Coordinate with internal teams to address any issues or discrepancies, and maintain detailed records of all requests and actions taken for future reference and compliance.
  • Respond promptly and professionally to incoming phone calls from both members and internal staff, addressing a wide range of inquiries related to accounts, loan products, services, policies, and procedures, while ensuring a positive and helpful experience.
  • Complete additional tasks and responsibilities as delegated by management, ensuring timely and accurate execution while maintaining compliance with company policies and contributing to team objectives.
  • Other responsibilities as assigned

Knowledge, Skills & Abilities

  • Ability to accurately review, process, and verify vehicle title transfer documentation, ensuring compliance with state and company policies.
  • Proficient in managing and maintaining accurate records of title transfers, Paid Reports, and other loan-related documentation for compliance and future reference.
  • Skilled in barcoding and entering title information into systems, ensuring proper tracking and updates to loan records while maintaining secure storage of physical titles.
  • Strong understanding of state-specific and company policies regarding title transfers, including knowledge of legal requirements for title release and state-to-state transfers.
  • Ability to respond professionally to inquiries from both members and internal staff, providing clear information on accounts, loan products, and title-related processes with a focus on customer satisfaction.
  • Capable of identifying and resolving discrepancies in title processing, coordinating with internal teams and external authorities, and addressing any issues to ensure timely resolution.
  • Excellent verbal and written communication skills for interacting with members, internal teams, and external institutions, ensuring clear and effective correspondence.
  • Ability to handle multiple tasks simultaneously, such as managing title transfers, reviewing reports, and responding to inquiries, while ensuring timely and accurate completion of responsibilities.
  • Commitment to maintaining compliance with company policies, regulatory standards, and legal requirements, ensuring that all actions and processes are accurate and documented properly.
  • Ability to complete additional tasks and responsibilities as delegated by management, adjusting priorities as needed to support team objectives and operational goals.

Qualifications

  • High School Diploma or equivalent required; an associate’s degree in business, finance, or a related field is preferred.
  • Minimum of 1-2 years of experience in vehicle title processing, vehicle registration, or a similar role within the automotive, financial, or lending industry preferred.
  • Experience with title transfers, barcoding systems, title releases, and working with state-to-state title transfers is highly desirable.
  • Strong understanding of vehicle title laws, processes, and regulations, including title transfers, Ability to review and maintain accurate title records, making sure all necessary paperwork is properly filed and barcoded for future reference.
  • Familiarity with Activity Manager and the ability to handle requests efficiently while maintaining accurate title records.
  • Proven ability to manage multiple tasks and projects simultaneously, ensuring all lending operations are carried out in a timely, organized, and efficient manner.
  • Proficiency in using loan servicing systems, databases, and standard office software (e.g., Microsoft Office Suite).
