Overview

The Operations Specialist on the Records team works to fulfill many types of requests relating to the documents used throughout the organization. The Records Specialist fulfills branch and department requests for information, as well as acts as an intermediary and processor for legal requests for document reproduction. The Records Specialist must effectively utilize resources to consistently provide the very highest level of service to members, branches, and other departments. They must work effectively in a team environment and welcome a challenge. This team must accomplish multiple assignments and projects with minimal supervision and within strict legal deadlines. The Records Specialist must believe in a service philosophy of owning issues through completion and to exceed service level expectations in every interaction.

Responsibilities

Records:

  • Use critical thinking to efficiently process and sort incoming paperwork from branches and departments

  • Scan and index documents for permanent archival via Nautilus

  • Troubleshoot and provide process improvement suggestions when standard processes are not efficient or effective

  • Research and fulfill subpoenas, court orders, and summons by providing member information within legal timelines

  • Recognize and escalate scenarios that require special handling

  • Sort returned mail

  • Research and fulfill requests for Branch/ATM video footage

  • Research and fulfill requests for member documents from Branches and Contact Center

  • Assist with any department projects

  • Provide support to the greater Deposit Operations team as needed

  • Provide professional, high-quality service to our members, fellow employees, and those who request member documents

  • Contribute to a sense of teamwork and purpose within the department

  • Provide input in increasing operational efficiencies and controlling department expenses

  • Comply with all security and confidentiality procedures

  • Follow all internal control procedures

  • Schedule your work time and resources to ensure all work is completed accurately and on schedule

  • Assist in completing various tasks within the department, and other departments, as needed

    Knowledge, Skills & Abilities:

  • Self-starter, able to complete tasks with minimal guidance
  • Strong, proven time management and organizational skills
  • Effective verbal and written communication skills for both internal and external interactions
  • Ability to identify, analyze, and resolve operational and member issues
  • Ability to learn rapidly and adapt quickly to changing situations
  • Demonstrated the ability to work independently as well as in a team environment
  • History of successfully handling multiple tasks in a fast-paced environment, all while making sound decisions and consistently achieving performance expectations
  • Strong understanding of credit union operations, procedures, and applicable regulations
  • Proven accuracy, thoroughness, and orderliness in performing work assignments

Qualifications:

  • High school graduate or GED required
  • Minimum of 2 years of successful experience working in a financial institution

    Physical Requirements:

  • Occasional lifting/pushing/pulling of objects up to 50lbs
  • Constant 10-key typing
  • Frequent sitting, walking, and standing
