Job Summary

 

The Academic Advisor in the School of Education (SOED ) serves graduate students in providing comprehensive and focused advising support to meet degree requirements and achieve academic success. Primary responsibilities include serving as the primary point of contact for multiple on campus and off campus SOED graduate programs, coordinating graduate admissions and application review, advising students regarding curriculum and degree requirements, and referring students to departmental and University resources. Academic Advisors collaborate with campus partners, faculty, and academic departments to ensure timely and accurate information in support of student success. The Academic Advisor reports to the Associate Dean or assigned designee.

 

Core Duties

 

• Act as primary point of contact for curriculum related questions for Graduate Programs within SOED . Engage students through advising processes regarding educational and career planning, based on intentional goals through regular review and revision. The advising process may include declaring/adding/dropping majors, minors, and/or career paths while developing course and degree plans while navigating co-curricular activities.

• Advise students in the College on curricular requirements, academic progress, accessibility, and educational opportunities.

• Guide students through problem solving on a wide variety of concerns, including but not limited to academic progress, academic program policies, career plans, accessibility, community standards to assist in making appropriate choices and decisions around academic planning.

• Assist in maintaining and updating student records in the College, helping in course schedule adjustments, and enrollment management on a semester basis.

• Review and administer student records, analyze data, and make recommendations that require interpretation and influence decisions on routine issues.

• Align and collaborate with University offices (e.g. Registrar Office & Graduate School) to ensure access to up-to-date information around degree requirements, course scheduling, and system processes.

• Advise the Division Chair or Dean to address student problems and academic/disciplinary issues and conduct meetings with students who may be academically at risk.

• Collaborate with departments of the University focused on student opportunities and success including but not limited to the Graduate School, Shepard Academic Resource Center, University Athletics, and Student Affairs.

• Train and mentor new Academic Advisors in learning programs, degree requirements and advising processes for the College.

• Participate in university wide academic initiatives and efforts, collecting data as needed.

• May serve on University Committees to support work on academic advising and initiatives.

• May assist with the supervision of student employees. Supervisory responsibilities include providing valuable learning experiences, hiring processes, setting of expectations, training and professional development, performance management and evaluations, and disciplinary processes including termination of employment.

 

Additional Level II Duties

 

• Assist in the SOED recruitment efforts for graduate programs and manage communications with prospective graduate students, serving as the primary point of contact for prospective applicants.

• Manage the licensure application process for all non-cohort MAT candidates, continuing and add-on licensure for all admitted students in programs such as but not limited to, Post Baccalaureate, Post Master, and EdD graduate programs; review and track graduate applications.

• Review projected graduate endorsement and practicum placements in collaboration with Placement Director, referring students to Placement Director as needed.

• Create and facilitate admission of on and off-campus cohorts and plan program sequences which includes navigating capacity requirements, coordinating travel and event dates based on program needs, availability of faculty, planning of logistics, and meeting accreditation related requirements.

• Provide administrative support to doctoral students and faculty through dissertation.

• Compile and analyze graduate program data on retention, attrition, and admission for state and national reporting.

Education & Experience

 

• Required: Bachelor’s degree.

• Required: 4 to 6 years professional experience in an academic environment inclusive of advising experience.

• Preferred: Relevant Master’s degree.

• Preferred: Relevant experience in P-12 education and certification process.

• Or a combination of equivalent education and/or experience.

• Ability to learn and apply Teaching Standards and Practices (TSPC ) policies for the State of Oregon, including submitting Program Completion Reports.

• Ability to learn and apply Oregon Administrative Rules (OARs) for current students and graduates.

• Strong interpersonal/customer service skills and ability to communicate effectively via online platforms, presentations, one-on-one student meetings, and written communication.

• Proven interest in, experience with, and commitment to inclusive excellenc; demonstrated ability to be an effective partner with students, faculty, and staff from historically marginalized groups. Physical Requirements
