Human Resources & Payroll Specialist
SBH Legal is a litigation firm located in downtown Portland that emphasizes representation of employers, insurers, and claims administrators in all matters relating to employment including worker’s compensation, Longshore, OSHA, wage and hour, discrimination, and related litigation. We are currently recruiting for a full-time Human Resources & Payroll Specialist.
Essential Duties & Responsibilities
Human Resources
• Partner with HR Coordinator on employee onboarding and offboarding; lead new hire orientation covering payroll, benefits, timekeeping, and leave policies
• Partner with HR Manager on benefit renewals and open enrollment execution
• Serve as a primary point of contact for complex benefit questions
• Oversee benefit enrollments, changes, terminations
• Oversee benefit invoice audits and partner with HR Coordinator to resolve discrepancies
• Partner with HR Manager to support complex leaves of absence
• Maintain compliance documentation for audits and reporting
• Support recruiting efforts including interviewing and communicating with staff candidates
• Conduct exit interviews and summarize feedback for leadership review
Payroll
• Process semi-monthly and off-cycle payroll with a high degree of accuracy
• Track and review employee timecards and overtime patterns; flag risks or anomalies
• Administer payroll changes related to new hires, terminations, adjustments, deduction changes, and leaves of absence
• Process 401k upload
• Ensure compliance with payroll tax regulations and coordinate with external payroll vendors as needed
• Prepare payroll reports for leadership
• Respond to payroll inquiries and resolve discrepancies in a timely manner
• Maintain payroll records and employee compensation data
Additional Duties
• Support compliance requirements, including confidentiality and ethical obligations
• Assist with special projects and firm initiatives as assigned
Qualifications
• 3 – 5 years of combined HR and payroll experience; professional services or law firm experience strongly preferred
• Strong working knowledge of payroll processing and HR best practices
• Experience with HRIS and payroll systems; ADP Workforce Now experience preferred
• Exceptional attention to detail and accuracy
• Ability to handle sensitive information with discretion and professionalism
• Strong organizational, time management, and communication skills
• Proficiency in Microsoft Office, particularly Excel
• Analytical thinker with ability to effectively integrate/leverage technology to maximize the efficiency of the team’s processes
• Ability to work in a fast-paced environment
• Ability to work a hybrid schedule with 2-3 days on site per week
