Girl Scouts of Oregon and Southwest Washington seeks a customer-service-oriented Property Specialist who shares our vision of helping Girl Scouts change the world.
What You'll Do
As the Property Specialist, you’ll support the property department by coordinating property reservations, serving as the subject matter expert on our reservation system, and supporting the department with research, vendor coordination, marketing, and other tasks. This position is the primary property department contact for volunteers, staff, and the public.
Responsibilities
- Serve as initial contact and resource for council-owned camp properties and their indoor and outdoor program centers and provide conscientious, timely, and friendly service to members, non-members, and staff.
- Actively market and sell property reservations and assets on behalf of the council.
- Manage and maintain internal reservation software, systems, and property calendars. Regularly assess and make recommendations about systems used to make reservations. Train and support other users of the reservation software and systems.
- Manage reservation data, ensure deposits, payments, and refunds are received and processed, monitor check-in/out dates, and confirm reservation details.
- Update all rental rates based on market and property improvements, with input from the property director and CFO.
- Maintain contracts, editing and revising as needed, with input from the property director and CFO.
- Ensure effective and efficient site registration processes. Respond to requests for information promptly and confirm reservations within one (1) business day.
- Review and manage reservation data for Girl Scouts and outside groups for council-owned sites.
- Collaborate with property rangers on reservations, property presentation issues, property reviews, safety issues, and any other property needs.
- Assist with coding and documenting the payment of invoices and statements for the property department.
- Prepare property department invoices for payment. Process refunds as needed.
- Following established procedures, prepare correspondence, memos, minutes, fliers, and other written communication for the property department.
- Prepare accurate property reports, information, and statistics, including attendance, site usage reports, amenity usage, and site revenue.
- Collaborate with the communications department to maintain the properties section of the website, including the reservation software, calendars, forms, and descriptions of the properties and their amenities.
- Write copy for property brochures, flyers, newsletter articles, maps, and the Guide to GSOSW Properties.
- Curate property photo archive. Track ranger photo submissions.
- Gather feedback from property evaluations and address concerns.
- Support capital improvements by gathering bids for projects and ordering materials as needed.
- Site visits to properties to familiarize with property features and support property inventories, including occasional supply deliveries or pick-ups. Support on-site projects.

- At least five (5) years of relevant education and experience, including experience in administrative and sales functions of property management, hospitality, real estate, or similar industries.

- Ability to accomplish work assignments on time and with a high degree of accuracy.

- Computer proficiency at an intermediate level in Microsoft 365, including Teams, Outlook, Word, Excel, and PowerPoint, and ease of learning new programs.
- Able to work a flexible schedule, including occasional evenings, weekends, and overnight trips.
- Reliable transportation and ability to travel to properties, meetings, and events across Oregon and Southwest Washington. Able to transport materials and equipment to/from properties.

The Details
- Compensation – Starting at $21.63 to $25.96 per hour, depending on qualifications. Plus $1.25 per hour for Spanish language skills at a conversational level or higher.

- Hours – Full-time, business hours, with some flexibility, including occasional evenings, weekends, and overnight trips.
- Location—This role requires travel (up to 15% of the time) to properties, meetings, and events. Administrative duties may be performed remotely if you meet internet connectivity standards or at one of our Service Centers throughout Oregon. All staff are required to participate in in-person meetings, events, work assignments, and retreats, the frequency and location of which are determined by business needs. You must be a resident of Oregon or SW Washington.
