Position Summary (Essential Functions):

There are no guaranteed hours for this position and vary week to week. The Receptionist On-call is responsible for covering the Front Desk Associates' tasks and duties. Including but not limited to answering and directing phone calls and emails from OFB guests and stakeholders. As the first point of contact in the building, you will greet staff, volunteers, clients, partner agencies, vendors and all others who enter. As the Receptionist On-Call, you will contribute to the organization's success through strong and effective interpersonal and communication skills, including the ability to remain focused in a high-traffic environment. The Receptionist must be self-directed yet flexible and have the ability to address setbacks, troubleshoot issues, and seamlessly direct multiple priorities at the same time.

Primary Responsibilities:

  • Provide customer service to all of our guests and stakeholders in a helpful, supportive, friendly and trauma-informed care manner.

  • Answer and direct calls professionally and efficiently.

  • Provide educational information and referrals to clients, seeking emergency food assistance. Both in person and over the phone.

  • Assist staff with navigating organizational information through Standard Operating Procedures (SOP).

  • Support volunteer shifts related to directions, late arrivals, cancellations and parking.

  • Accept and provide receipts for money and food donations as needed.

  • Support with internal communications.

  • Receive incoming mail, process packages as needed and outgoing mail.

  • Provide general administrative and back-up support.

  • Community Room reservation process for Equity Constituents through staff sponsors.

  • Organizational level responsibilities of employees include:

    • To be an ambassador and a leader for OFB's vision and mission, a cross-departmental collaborator, and an active contributor to building a movement to end hunger for good by addressing the root causes of hunger: systemic oppressions such as racism, xenophobia, sexism, and cisexism.

    • In consultation and coordination with the supervisor, actively contribute to:

      • cross-departmental efforts

      • work culture activities and programming

      • advisory and consultative groups such as the Compensation Committee, affinity groups, Equity Ambassadors, Equity Think Tank meetings, among others

      • plan and engage in professional development activities that strengthen your capacity for your specific role as well as your capacity to contribute and advance organizational goals, OFB's vision and mission.

  • Identify, share, engage in, and collaboratively adjust and make necessary changes to this description of duties according to the inevitable evolution of the role over time.


Skills and Experience:

  • Deep passion for eliminating hunger and its root causes.

  • Multilingual skills at a minimum professional level of proficiency or greater in English and Spanish, defined as being able to speak the languages with sufficient structural accuracy and vocabulary to participate effectively in most formal and informal conversations on practical and professional topics.

  • Demonstrated success as a Receptionist or Administrative Assistant.

  • Oral, written communication, and typing skills with a detailed eye for grammar, punctuation and spelling.

  • Working knowledge of effective reception and customer service practices and experience in operating a multi-line digital phone system.

  • Experience working with Microsoft Windows and Office Suite, Google Suite, email and internet applications, Ring Doorbell, copiers and basic office equipment.

  • Basic knowledge of electronic filing and record-keeping systems.

  • Ability to solve problems, manage multiple priorities, and move complex projects forward while paying attention to details and deliverables. Must be able to handle interruptions and maintain focus on tasks while producing accurate and high quality work.

  • Customer service skills.

  • Ability to thrive in a creative, responsive, and fast-paced culture.

  • Organizational level skills and experience required for employees include:

    • Experience of successful multicultural immersion working and/or living within OFB's Equity Constituencies: BIPoC, Immigrants & Refugees, Single Mothers, Trans and Gender-Non-Conforming folx.

      • Multicultural Immersion defined as: Actively integrated in one or more communities, interacting with individuals and groups, and seeking to understand the diversities within and between communities by being there and engaging in daily life activities.


Preferred Qualifications:

  • Organizational level preferred qualifications of employees include:

    • Multicultural skills of adaptation and integration are strongly preferred.

      • Adaptation is defined as the capacity to communicate and interact with people of multiple cultures, backgrounds, and styles by incorporating and adapting to the world view and perspectives of others.

    • Commitment to continued professional development to strengthen capacity to work through an equity lens for equity and racial justice.

    • Years of successful multicultural immersion either working with and/or living within one or more of OFB's Equity Constituencies at the time of hire. An additional step for at least 10 years above minimum required of successful multicultural immersion working with and/or living within one or more of OFB's Equity Constituencies at the time of hire.
