Job Summary

Provides customer service, general clerical and administrative support, and a wide variety of student support for Student Life and Civic Engagement, and associated students and co-curricular programs. Oversees the Student Union reception area Serves as the main point of contact in the Student Union for students, internal and external staff and provides information regarding the Office of Student Life and Civic Engagement programs. 

Essential Duties

  1. Acts as the main point of contact at the Student Union, and provides general guidance, information, and assistance in person, over the phone, and via email.  Investigates and resolves requests and concerns promptly while treating customers with courtesy and respect. Provides referrals and escalates concerns as appropriate. 
  2. Assists with resolving student concerns and overseeing the Student Union space and student staff, ensuring safety and inclusivity. Diffuses situations, escalates requests and provides additional resources as appropriate.  Provides work direction and scheduling for student employees.
  3. Provides administrative support for the Student Union. Enters and maintains data and creates reports. Coordinates room scheduling. Maintains and orders supplies. Creates and monitors work orders and facility requests.  
  4. Assists with Student Life budget maintenance and financial processing. Prepares reconciliations and monthly reports for budget oversight. Performs purchasing functions for the department as needed; initiates purchase orders, places orders, and processes invoices. Works collaboratively with the business office to review discrepancies in fund accounts and generate reports. Ensures compliance with institutional and state policies. 
  5. Provides administrative support to the director. Assists with correspondence, projects, research, compiling and analyzing data, and preparing reports and recommendations.  Provides support for departmental goal and objective assessment.
  6. Develops, reviews, and recommends office policies and procedures. Prepares procedures manuals, forms and other related materials.  Assists student groups with navigating programs and policies and provides information and additional resources. Assists the director with the hiring, onboarding, and oversight of student employees. Facilitates training for office procedures and proper operation of departmental software and equipment.

Additional Duties

  1. Provides services related to the main campus lost and found, including working with Public Safety and disposing of unclaimed items in accordance with college procedures. 
  2. Coordinates rental of student lockers and other Student Union projects.
  3. Provides support to Student Life/Student Union events.   Assists with set-up, breakdown, and event logistics. 
  4. Performs all other duties as assigned.

 

Minimum and Desired Qualifications

 

Minimum Qualifications 

  • High School or GED
  • Two (2) years of administrative clerical experience involving public contact and primary support to an individual or department.
  • Experience working with diverse backgrounds; demonstrated commitment to promoting access and diversity. 
  • Intermediate skills in MS Office including Word, Excel, Outlook and PowerPoint

Equivalent combinations of education and experience may be considered

Preferred Qualifications

  • Bilingual oral and written skills with fluency in English and other language that meets community needs
  • Experience working directly with students
  • Experience supporting higher education programs and/or knowledge of higher education processes

  • Knowledge of office practices, procedures and equipment and knowledge of basic accounting practices to track budget and expenditures
  • Knowledge of effective techniques and ability to provide work direction, training and guidance to students and staff as assigned
  • Ability to project and maintain a positive image with those contacted in the course of work

 

Working Conditions and Important Information

 

Work Environment

This position is on site and will not be eligible for remote work. Work is performed primarily in a standard office environment, with occasional excessive noise and/or olfactory sensitivity within assigned program(s) areas and environments.
