Job Description:
The Oregon Department of Emergency Management (OEM) is excited to announce an opening for an Executive Assistant (Executive Support Specialist 2) to provide administrative support to the OEM Business Services & Compliance Division Director and all sections within to include Compliance, Information Technology & Logistics, Human Resources and Finance.
Effective Jan. 1, 2025, the compensation plan for this position will be adjusted to reflect a Cost-of-Living Adjustment (COLA) of 6.55%. The salary listed in this posting does not reflect the COLA.
Here are some of the supporting duties:
- Responsible for tracking and maintaining the division procedures and other documents necessary in managing the division programs; Implements recommendations and updates to planning and procedure materials approved by management
- Monitors program activities for compliance with Federal and/or State laws, program eligibility, customer needs, contractor/vendors, and abuse or fraud within program scope
- Reviews reports, papers and other records prepared by personnel for clarity, completeness, accuracy and conformance with both agency policies/federal guidelines and requirements.
- Drafts, reviews, and processes correspondence being submitted for executive signature throughout the division to ensure it meets proper format
- Assist in travel details and appointment schedule for Division Director.

What do you need to qualify? Minimum Qualifications:
One year of experience performing administrative duties in support of agency projects or programs.
Qualifying experience would involve data collection and analysis; project evaluation and/or analysis; interpretation and application of laws, rules, and regulations; or similar experience.

Additional information:
- The salary listed is the non- Public Employee Retirement Systems (PERS) qualifying salary. If the successful candidate is PERS qualifying, the salary will reflect the 6.95% increase.

- Employees of the Oregon Department of Emergency Management are subject to recall at any time. During an emergency this position may be required to work long hours without normal days off within the State Emergency Coordination Center (ECC), Recovery Coordination Center (RCC) or in the field supporting emergency response activities. To support development and enhancements of State ECC/RCC capabilities and responsibilities all staff may be re-directed from day-to-day duties to support planning, training, and exercise activities as needed.
