The Security Specialist serves in a customer-facing role focused on personnel security clearance functions for Relay and Contracts team.  The Security Specialist is a resource to the Social Enterprises, however they are responsible for managing personnel security functions for the whole organization.  

  1. Security – 70% 

  • Submit completed applications for employee security clearance to agency and customer contacts, including new hire and renewal applications 

  • Follow-up with department managers and supervisors related to employees expired or expiring security clearances  

  • Enter and update Kronos with security badge clearance information, including expiration dates and tracking renewal requirements 

  • Coordinate with employees to pick up badges as needed 

  • Maintain complete, accurate, and up to date security clearance records and provide security clearance status information to department managers and SDTMs  

  • Enroll employees for online CJIS Training   

  • Maintain confidentiality of DOD (DSS) debriefed cleared employees’ personal information and ensure security of documents handling and storage process  

  • Return expired badges to customers when necessary 

  1. Customer Service – 20% 

  • Serve as a primary point of contact with external security administrators 

  • Manage customer concerns as they relate to personnel security clearances and sub-contractor clearances  

  • Maintain a focus on timely and professional customer service 

  1. Communications – 5% 

  • Manage key customer communications related to personnel and subcontractor security clearances   

  • Supports the coordination of administrative communications related to security clearances and coordination with onboarding of new employees with HR team

  1. Support – 5% 

  • Provide notary services as needed for security clearance documents and other business-related documents. 

  • 2+ years’ experience working in administration and contracts, or related field 

  • Notary public or ability to become one within first 90 days of employment 

  • Experience with security document processing experience a plus 

  • High School diploma or GED  

  • Exceptional professionalism; able to respond to internal and external customers during elevated situations 

  • Maintain confidentiality of highly sensitive information 

  • Ability to prioritize multiple projects at once and follow through on tasks and projects to completion  

  • Ability to support improved business management processes and to advise on such processes 

  • Proficient in technology including Microsoft Office (Outlook Word, Excel and Microsoft Project); experience with contract management systems and CRMs, i.e. Salesforce, or HRIS systems a plus 

  • Excellent communication skills, including written, verbal and listening; ability to communicate effectively with a diverse population 

  • Excellent customer service skills with both internal and external customers 

  • Ability to pass criminal history background check and/or fingerprinting as appropriate at any time during employment 

PREFERRED QUALIFICATIONS 

  • Able to read contracts to ensure reporting requirements are being met in regard to clearances 

  • Attention to detail

KNOWLEDGE, SKILLS, AND ABILITIES 

Knowledge of Microsoft, SharePoint 

Ability to multitask / follow-up / through 

Skills to create and write SOP’s and update as needed
