The City of Salem is looking for a talented and motivated individual to join our Community Planning & Development - Urban Development team. This is a full-time Administrative Analyst I career opportunity. This position will allow you to support professional staff in the processing of economic development, urban renewal, federal programs, and staff several boards and commissions. This job is not eligible for remote work.

What you will do:
The Administrative Analyst I will be tasked with providing high-level administrative support to all staff, including preparing public meeting notices, composing meeting minutes, posting information to the City's website, recording meetings by using Zoom and YouTube, proofreading staff reports, and staffing the division's boards. It will also involve learning the City's financial system in order to accomplish a variety of tasks, as well as the federal programs complex online grant data entry processing system (IDIS). Strict attention to detail, as well as the ability to see the big picture and suggest process improvements, is vital. The ability to work with and take direction from many different staff members, with changing priorities and deadlines, is extremely important.

This role will be responsible for tracking and maintaining office supplies, the division's equipment inventory, as well as implement a system for purging and archiving files. This position requires some attendance at morning and lunch meetings such as the North Gateway Redevelopment Advisory Board, West Salem Redevelopment Advisory Board, and the Downtown Advisory Board.

The successful candidate must possess strong communication skills, including writing skills. The Administrative Analyst will be tasked with writing business correspondence to many external stakeholders, drafting and proofing documents for spelling, grammar, and conformance to adopt formats. In addition, you will coordinate travel for staff members. The individual for this position must possess the ability to work effectively with others, manage their time well, and have the ability to complete work with minimal supervision.

What are the minimum qualifications?
  • Must pass the pre-employment criminal background check.
  • Depending on area of assignment, may need to pass the pre-employment drug test (including marijuana).
  • Must have an Oregon Driver's license and a driving record that meets the City of Salem's driving standards.
  • Bachelor's degree from an accredited college or university in business administration, public administration, or a related field; and one year of professional administrative level experience involving review, analysis, and preparation of recommendations, development of administrative policies, procedures and systems; or any combination of experience and training that demonstrate possession of the knowledge, skills, and abilities as listed, and ability to perform the essential job functions.
  • Depending on the area of assignment, may have to pass a criminal background check necessary to obtain Criminal Justice Information System clearance and Law Enforcement Data System certification within 30 days of hire (clearance must be maintained throughout employment).

Preferred Qualifications (Not required to apply):
  • Strong technical skills highly desired, including an intermediate level of competency with Microsoft Office.
  • Experience supporting boards and commissions desired.
  • Experience processing accounts payable is desired.
  • An active notary certification preferred.
