The HRIS Administrator's responsibilities include providing UKG technical support & system administration in collaboration with data stewards & stakeholders on organization UKG projects, and management of files for the People Operations’ department, with a focus on integrating forms and processes into UKG, where possible. This role will work closely with the People Operations (HR) and IT departments. The HRIS Administrator is responsible for the maintenance, updating, and monitoring of their assigned application (UKG Workforce Ready). In addition, the HRIS Administrator will troubleshoot concerns and respond to inquiries from application users. Work is performed independently requiring initiative and sound judgment. Project Management and the ability to proactively resolve HRIS system issues in an expedient, independent manner are essential functions for this position.

Application Management:

  • Act as the HRIS administrator of the UKG Workforce Ready application.
  • Provide subject matter expertise, guidance, and recommendations for UKG Workforce Ready Payroll, Benefit, Recruiting and Onboarding, and Performance Management modules and overall HRIS system administration.
  • Validate and confirm new or changed functionalities and communicate changed functionality and associated Standard Operating Procedures (SOPs) with appropriate system users.
  • Act as Project Manager for system initiatives by tracking progress, following up with stakeholders, and communicating progress to data stewards, stakeholders, and Change Advisory Board.
  • Perform problem analysis to implement temporary or permanent solutions with a focus to improve user accessibility. Escalate incidents to other support teams where necessary.
  • Support Payroll & Benefits in resolving any time-sensitive issues preventing time submission and/or payroll processing related to HRIS Employee Data.
  • Analyze HRIS applications to identify root causes and work closely with the vendor product support team to implement solutions.
  • Analyze HRIS processes to identify inefficiencies and opportunities for improvement.
  • Create external process workflows and user documentation for future implementations within HRIS modules.
  • Collaborate with UKG Data Stewards and Relay Project Teams to build new functionality, workflows, processes, and/or reporting in the application including requirements gathering, configuration, testing, user documentation, and training.
  • Understand and utilize testing methodologies such as the UKG sandbox.
  • Develop and provide scheduled reports as requested.

Employee Management/Quality Assurance:

  • Approve system user actions to monitor for accuracy and standardization, as well as training opportunities when users enter erroneous information.
  • Provide training support for system-related SOPs.
  • Regularly review manual process workflows that cause system exceptions for opportunities to improve the system, and increase standardization.
  • Conduct regular reviews of employee data for the accuracy of system files.

File Management:

  • Consolidate People Operations files into one-source SharePoint People Operations page.
  • Manage People Operations SharePoint to ensure current documents are efficiently organized, including forms, policies, SOPS, roles & responsibilities, and department org charts.
  • Provide proper communication agency-wide for locating source documents on SharePoint or within UKG HRIS System.

Qualifications & Education Requirements:

  • Bachelor’s Degree or equivalent education and experience in computer science, data management, data analytics, or related fields.
  • 5+ years of HRIS Administration experience.
  • Previous experience with new system implementations and current system upgrade projects.
  • 3+ years of experience as HRIS administrator for UKG/Kronos Workforce Ready strongly desired.
