Oregon State University Division of Extension and Engagement invite applications for an Office Specialist 2 position based at the OSU Extension Service Klamath County office in Klamath Falls, Oregon. This is a 12-month, full-time, classified position.
This Office Specialist 2 (OS2) position is based at the Oregon State University Division of Extension and Engagement’s (division) Extension Service Klamath County Office in Klamath Falls, Oregon.
As a team member, this OS2 provides general office support, business financial functions, and educational program support for the OSU Klamath County. This OS2 performs a wide range of office support, technical, and/or administrative or business-related tasks in support of Extension programming and services for residents of Klamath County. This OS2 will be cross-trained and will assist other office support employees and the Administrative Office Manager. These support duties are performed independently and often involve the completion of varied and unrelated assignments or technical functions over which the employee has exclusive or near-exclusive control. This support includes providing excellent and empathetic customer service while engaging in culturally appropriate and inclusive communication. In addition, this OS2 should have general knowledge of database management, web-based software programs, and web contents maintenance software and be proficient with computer software such as or similar to Microsoft Office Suite.
This individual assists the program faculty and staff with ensuring that educational programming and outreach activities serve broad and diverse populations in an accessible, inclusive, equitable, and socially just manner.

Position Duties
45% – Office Administrative Support
- Perform numerous office, organizational, and other assigned support tasks that may involve numerous guides, instructions, regulations, manuals, and precedents.
- Assist 4-H and/or other program participants and volunteer leaders with registration, payment, background checks, and provide program information and assistance.
- Assist with answering telephones, screening, directing calls, and taking messages.
- Assist callers and office visitors by providing accurate information and referring them to appropriate personnel.
- Coordinate meetings, events, and conferences, including scheduling facilities, arranging food and beverage service, and preparing necessary decorations and materials.
- Utilize various software programs to create office manuals related to administration and department programs or services, including writing, editing, proofing, and completing final drafts.
- Order materials, supplies, publications, computers, etc., from cost effective vendors. Driving/travel is required to purchase supplies to support business functions.
- Assist the Administrative Office Manager with the Extension’s civil rights program at the Extension Klamath County Office.
- Provide thorough, professional, and friendly customer service.
- Manage sensitive information with confidentiality and discretion.
- May perform responsibilities relating to OSU relationship with County 4-H Association, where applicable: Follow OSU financial policies, standards, rules, procedures, and best practices and the Klamath County 4-H Association agreement.
50% – Business Functions
- Assist Administrative Office Manager with day-to-day facilities and safety issues, indicate need for repairs and improvements, and coordinate with appropriate county representative.
- Advise all faculty and classified staff in proper handling of registration fees, income, and purchases to be consistent with OSU policies, standards, rules, and procedures and sound business practices.
- Assist Administrative Office Manager with analyzing and monitoring spending rate to assure adherence to budget restraints.
- Track expenditures and resources by program area and fund and provide budget reports as needed.
- Process financial transactions, problem resolution, account reconciliation and track errors through accounting system.
- Process specialized records requiring reference to numerous guides, regulations, instructions, manuals, and precedents, reviewing materials for proper completion and accuracy against manual and computer-generated reports.
- Follow OSU financial policies, standards, rules, procedures, and best practices as needed for Extension.
- Enter invoices, deposits, journal vouchers, travel reimbursements, and conduct other financial transactions through University financial systems. Driving/travel is required to take deposits to bank.
- Provides support for 4-H fair including judge contracts and payments, travel and hotel arrangements, registration, and other office logistical support.
- Utilize OSU digital systems for administrative and program reports.
- Identify space and equipment needs; research and order supplies and equipment from cost-effective vendors.
- Utilize and adapt to using multiple forms of digital communication systems, including websites, email newsletters, social media, and other tools in a changing technological environment.
- Serve as the point person on office and program equipment, computer, and technology-related functions including, but not limited to: Zoom, DocuSign, Box, and any new technology implemented.
- Ensure efficient and secure operation for office computer printers/copier and related equipment; serve as liaison with the OSU’s Community Network.
5% – Other Duties
- Perform other duties as assigned by the Administrative Office Manager or Regional Director.
- Participate in professional development programs aimed at serving broad and diverse populations, particularly those that have been historically underserved.
Minimum Qualifications
Two years of general clerical experience. One year of which included typing, word processing, or other experience generating documents; OR An Associate’s degree in Office Occupations or Office Technology; OR Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical experience. College courses in Office Occupations or Office Technology will substitute for the required experience on a year-for-year basis.

This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.
This position requires driving a university vehicle or a personal vehicle on behalf of the university; therefore, the incumbent must successfully complete a motor vehicle history check, possess and maintain a current, valid driver’s license in their state of residence, be determined to be position qualified and self-report convictions as per University Policy 05-030.
Preferred (Special) Qualifications
- Experience developing and updating content for webpages and social media.
- Ability to interact positively with the general public and volunteers.
- Ability to plan, organize, evaluate, set priorities, manage multiple projects, interruptions, activities and deadlines simultaneously.
Working Conditions/Work Schedule
- Typical work hours are during Monday-Friday between 8:00 a.m. to 5:00 p.m.
- Work is primarily conducted in an office setting; however, the position may require flexibility to work in evenings and weekends based on support of programming needs such as supporting shows and fairs, coordinating with supervisor to adapt work schedule to address the programming needs.
- This position spends extensive periods of time sitting, standing at desk in front office.
- This position spends extensive periods of time using a computer.
- Access to a vehicle is necessary as duties will require travel/driving to perform office support duties such as handling shipping and postage needs; setting up of events; delivering of bank deposits, etc. Business mileage will be reimbursed based on OSU policies.
