The Department of Administrative Services (“DAS”) is the central administrative agency that leads state government to implement the policy and budget decisions of the Governor and Oregon Legislature. Employing an enterprise-wide perspective, DAS serves state government by developing and upholding accountability standards to ensure productive and efficient use of state government’s financial, human and information resources.

 

The Executive Support position is with the Enterprise Information Services (EIS) Administrative Services team. In this position you will provide executive and administrative support to a DAS EIS Director. You will act as executive support providing time management and support for management and staff as assigned.

 

Position duties and responsibilities at a glance:

  • Maintain the Director’s schedule including scheduling appointments, arranging, and coordinating meetings and proactively managing conflicts.

  • Prepare, review, and check financial documents and reports such as invoices, vouchers, receipts, reimbursement requests, SPOTs card records and other financial records for mathematical accuracy, completeness, consistency, and propriety.

  • Monitors monthly and quarterly expenditure reports to assure the expenditures are within budget allowance; may assist in the preparation of the biennial budget by providing information.

  • Coordinate and/or facilitate meetings including recordings, transcriptions, scheduling and providing relevant materials and supplies. Prepare for meetings, bringing issues and solutions for the team to resolve.

  • Share in leadership, and actively support decisions made by the management team.

  • Act as backup for other administrative staff, receive and screen communication including responsibility of reception duties for the division.

What We Are Looking For

Minimum Qualifications:

One year of experience performing administrative duties in support of agency projects or programs.

Qualifying experience would involve data collection and analysis; project evaluation and/or analysis; interpretation and application of laws, rules, and regulations; or similar experience.

 

Desired Attributes:

  • Demonstrated ability to manage tight deadlines with a relatively high volume and changing priorities.

  • Proficient in the use of Microsoft Office applications including Word, Excel, Access, Power Point and Outlook

  • Basic knowledge of research techniques sufficient to collect, analyze, interpret and report data in both a narrative and statistical format.

  • Demonstrated skill performing administrative support functions requiring independent judgment, decision-making, and problem resolution.

  • Demonstrated ability and skill researching information and composing memos, letters, and other correspondence.

  • Demonstrated ability and skill communicating orally with a variety of people at all levels such as Administrators, other agency or legislative staff members, the press, and the public with the ability to maintain confidentiality as needed for the situation.

  • Demonstrated skill making independent judgment and decisions concerning a course of action to be taken.
