Job Title:           Deputy Executive Director

Department:      Operations

Reports to:        Executive Director

Supervises:       Accounting, Facilities & Sanctuaries

Classification:    Exempt (Salaried) 1.0 FTE

Compensation:   $110,000-120,000 per year plus full benefits package

Position Summary
The Deputy Executive Director will co-lead the senior leadership team, providing operational and financial oversight to ensure the organization’s continued growth and effectiveness. Reporting to the Executive Director, this role oversees the Operations team, which includes Accounting and Finance and Facilities and Sanctuaries. The Deputy Executive  Director will also be responsible for risk management, compliance, and organizational efficiency, ensuring alignment with strategic plan goals.

The Deputy Executive Director will play a pivotal role in ensuring financial sustainability, operational excellence, and a thriving workplace culture.

 

Essential Duties Include:

Organizational Leadership & Administration

  • Will serve as the organization’s senior leader in the absence of the Executive Director.
  • Work closely with the Executive Director on strategic planning, financial management, and organizational development.
  • Communicate organizational goals and operational plans across all levels of the organization.
  • Oversee and support the facilities and sanctuaries' operations.
  • Serve as a thought partner to the Executive Director, providing leadership in operational decision-making and policy implementation.
  • Facilitate Senior Management Team meetings, including agenda development and tracking of work items.
  • Collaborate with the Executive Director and senior management team to develop and implement plans for improving the operational infrastructure and systems to support our growth objectives.
  • Develop, implement, and enforce policies related to business operations, security, risk management, and safety procedures.
  • Oversee the development and approval of the organization's annual budget, including operations, maintenance, capital projects, and capital campaigns.
  • Partner and collaborate with the People and Culture HR Director on organization-wide initiatives such as Labor Budget, workplace culture, appropriate transparency, and functional systems.
  • Serve as liaison to the board and its finance, investment, and sanctuaries committees. Effectively communicate and present critical matters at select board of directors and committee meetings.

 

Financial Management and Compliance

  • Lead, guide, and develop the organization’s budget process and annual budget, working closely with the ED, Board Treasurer, and department heads who manage budgets to evaluate the financial impact of new and changing programs.
  • Oversees budget management, financial planning, Auditing procedures, and reporting to ensure the fiscal health and sustainability of the organization.
  • Ensure compliance with Generally Accepted Accounting Principles ( GAAP), nonprofit accounting standards, and regulatory requirements.
  • Work with the Executive Director, the Development Director, and the senior leadership team to oversee reporting and financial tracking.
  • Provide financial reports to the Board and assist in presenting financial updates and audits.
  • Develop accurate visual representations of Bird Alliance of Oregon’s financial position, monthly, quarterly, and annually. Must be able to develop special reporting on finances as directed or requested.
  • Oversee contract negotiations, vendor relationships, and financial risk management.
  • Supervise, finance, and accounting staff, ensuring accuracy in financial record-keeping and reporting.
  • Review and improve financial systems and performance indicators. Participate in long-range goal setting.

 

Staff Development

  • Support a positive and inclusive workplace culture that prioritizes staff well-being and professional growth.

Risk Management & Legal Compliance

  • Oversee organizational risk management, ensuring proper insurance coverage and legal compliance.
  • Administer contracts, agreements, and leases, ensuring organizational interests are protected.
  • Ensure that operational and financial policies align with industry best practices and nonprofit regulations.

 

Qualifications:

  • Bachelor’s degree in Business Administration, Finance, Nonprofit Management, or a related field; Master’s degree preferred.
  • Minimum of 8 years of senior leadership experience in nonprofit administration, operations, finance, or a similar field. Experience working with conservation and environmental education NGOs is a bonus. 
  • Strong knowledge of nonprofit financial management, budgeting, and compliance.
  • Experience and understanding of facilities and sanctuaries management is a bonus.
  • Demonstrated experience in financial planning and analysis using QuickBooks or a related financial software package. 
  • Knowledge of GAAP and best practices in nonprofit finance. Knowledge of public-facing quasi-endowment management is a bonus.
  • Experience with risk management, contract negotiations, and legal compliance.
  • Proven ability to lead and mentor teams, fostering a collaborative and inclusive work environment.
  • Excellent problem-solving, analytical, and communication skills.
  • Proficiency in financial software (e.g., QuickBooks), Microsoft Office, Google Suite, and cloud-based management systems, financial planning and analysis, and data visualization tools, e.g., Tableau, GGPlot, etc.

Work Environment

  • Engage in regular communication in-person as well as through electronic means.
  • Regular in-person meetings and occasional travel for organization-wide events.
  • Able to maintain regular communication with teams.
  • Some evening and weekend work may be required.
  • Must be able to lift up to 15 pounds as needed.
