The Legal Assistant provides a wide range of critical and time sensitive administrative functions to support the Legal Services division, including serving as a point of contact for the legal department, preparing and processing legal documents, coordinating cases, and providing support for special projects.

This role requires being onsite a minimum of three (3) days per week.

Essential Functions

  1. Perform a wide range of time sensitive confidential administrative tasks associated with a busy legal department in conjunction with lawyers and staff.
  2. Prepare, proofread, and process legal documents and papers such as pleadings, motions, reports, discovery documents, correspondence, and subpoenas.
  3. Electronically file pleadings and other documents in state and federal court.
  4. Intake and docket case related incoming mail (physical and electronic) and docket and calendar all deadlines.
  5. Accurately manage deadlines and coordinate cases and associated tasks on application systems utilizing independent thinking, analysis, and decision-making.
  6. Coordinate scheduling with opposing counsel and the court.
  7. Coordinate appearance of court reporters and technology providers.
  8. Assist with management of the budget for the legal department, including accurately and carefully facilitating the review and approval of bills for payment.
  9. Organize, schedule, and provide support for special projects, including trials, depositions, arbitrations, and hearings.
  10. Prepare exhibits and other materials for trial, and arbitration statements of proof.
  11. Accurately maintain case management system and calendars with time sensitive deadlines.
  12. Responsible for case intake and setting up new matters including complaints, tort claim notices, and administrative agency filings.
  13. Responsible for intake and tracking of subpoenas, garnishments, tort claim notices, and other legal process.
  14. Responsible for understanding, following, and improving internal practices for case management.
  15. Communicate with and serve as point of contact for the legal department among internal and external parties.

 

Position Requirements

A minimum of a high school diploma or equivalent is required.  An associate's degree in paralegal studies or a related legal discipline, or completion of accredited legal secretary or legal assistant program is preferred.

Four (4) years of total credited experience.*

Three (3) years of experience in civil litigation support are required.

Three (3) years of experience in personal injury litigation (plaintiff or defense), employment litigation, insurance defense or public sector litigation are preferred.

An Oregon State Notary certificate is preferred.


Or any equivalent combination of experience and training.*

The amount of credit a candidate receives for prior years of experience is based on the relevancy of that experience to the required or preferred prerequisites of the job description. Experience is prorated based on hours worked. LRHR assigns and validates the "credited experience".

Salary Range
Minimum: $72,421.00
Maximum: $108,629.00

Salary offers will be determined by a candidate’s education, training and relevant experience. Any final offer of employment will fall within the range stated above.  For transparency, we choose to list the full available grade range, however, TriMet’s salary administration process will ultimately determine the final salary offered.
